Policies & Procedures:  Adhere to all Zahrawi Policies & Procedures as applicable.

 Supervisory Responsibilities: 

  • Ensuring that team members meets the performance goals assigned to them.
  •  Collecting periodic reports from team.
  •  Delegating short-term targets for the team members. 
  • Helping the team members solve task related problems.
  •  Motivating the team members and making sure that they are following the policies and procedures.

     

Coordination:

  • Understand, share and apply knowledge of shipping regulations, customs and duties requirements, and other related concepts to ensure that the work is done efficiently.
  •  Identify problems and address it to the Line Manager.
  •  Responsible for proper and effective business correspondence and communication.
  •  Coordinate importation approvals from all necessary governmental authorities.

     

Document Processing:

  • Maintain reports and process documentation in line with Zahrawi and local customs requirements. 
  • Report weekly expense reports to the Line Manager. 
  • Collect and submit documents (including regulatory permits, tenders, Certificate of Origin, LPOs and original documents) to and from shipping agents, government agencies, customers, etc.
  • Submit Custom Bill of Entry online. 
  • Submit expense claim reports in a timely manner.
  •  Submit all Bayan copies monthly to accounting & line manager including related system references  
  • Maintain records for all customs transactions (Bayan - export - import- special approvals 
  • Submit monthly report on the brokers Zahrawi deals with. 
  •  Arrange selection of customs brokers across UAE ports and provide monthly broker performance assessment 
  • Provide weekly report on all shipments at customs and reason for delay & status.

 

Data Control:

  • Check and ensure the accuracy of data and figures of all the invoices.
  •  Maintain and update the concerned supply chain coordinator on the status of the logs for shipment tracking. 
  • Maintain all Customs related documents for a period of 5 years as per the government regulations (Hard & Soft copies).

 

External Networking:

  • Cooperate with all government entities to ensure smooth clearing of imports from the boarders. 
  • Coordinate regularly with airlines/forwarder/shipping lines to track and clear the shipment. 
  • Follow up with the clearance agent at the seaport/airport and arranging the delivery of products to the warehouse.
  •  Establish working relations with ocean carriers, customs broker, airlines, transporters, etc. to ensure the ease of future deliveries.
