job Brief
The incumbent is accountable to ensure that inventory levels are maintained efficiently that aligns with the demand forecast and business goals.

ACCOUNTABILITIES

Policies & Procedures:

  • Adhere to all Zahrawi Policies & Procedures as applicable.

Sales Support:

§  Support and assist fellow team members / departments, as and when needed to meet company / department goals.

§  Identify problems and address it to the team leader.

§  Effectively present information and respond to questions from colleagues.

 

Generate New Leads:

  • Respond to any inquiries regarding the department and task.

 

Consignment Management:

§  Act as the primary point of contact for sales teams regarding consignment deliveries.

§  Coordinate and schedule consignment deliveries and booking with customers, ensuring timely and accurate distribution of medical devices.

§  Follow Up for Consignment Delivery and Collection, track and monitor consignment deliveries to ensure successful receipt by customers.

§  Manage the collection of consignment items post-usage, maintaining accurate records of inventory movements.

§  Monitor and follow up on advance deliveries to customers, ensuring timely fulfillment of orders.

§  Address and resolve any pending LPO issues in collaboration with sales teams and customers.

 

Stock Management:

§  Maintain accurate records of consignment stock levels, ensuring proper stock rotation to prevent expirations.

§   Coordinate the collection and replacement of expired consignment items, ensuring compliance with regulatory standards.

§  Ensure that inventory figures of consignment are accurate and reliable.

§  Perform regular reconciliations of consignment inventory, comparing physical counts with system records.

§  Investigate and correct discrepancies to maintain accurate inventory records.

 

Documentation:

§  Gather and compile usage reports and Local Purchase Orders (LPO) related to consignment inventory.

§  Generate and distribute weekly reports on consignment inventory status and pending customer orders.

§  Provide insights and recommendations to management based on report findings to improve consignment processes

 

Database:

§  Maintain database of all consignment transactions including but not limited to surgery bookings, transfer documents, pick-up documents, surgery reports (or usage reports), LPO, and any other related documents in the company shared drive & ERP system for easy and quick references.

 

Inventory Planning:

  • Analyze sales trends and customer demand to forecast inventory needs and ensure optimal stock levels across all product lines.

  • Coordinate with the sales team to adjust inventory plans according to customer demand, promotional activities and product launches.

  • Forecast supply and demand requirements to ensure cost-effective stock availability.

 

Inventory Management:

  •  Coordinate with the procurement team to maintain operational efficiency and cost-effectiveness related to inventory orders. 

  • Coordinate with the sales & warehouse team to optimize inventory turnover and minimize overstocking.

  • Support stock arrangements and perpetual inventory checking.

  • Utilize inventory management tools to track stock movements, generate reports, and provide data analyses for decision-making.

  • Manage relationships with stakeholders to achieve favorable conditions related to minimum order quantities and inventory delivery schedules.

  • Perform regular inventory audits and reconciliations to identify discrepancies and take corrective actions to resolve issues and improve inventory level accuracy.

  • Develop and implement inventory control procedures and policies to maintain accurate stock levels and minimize overstocking.

 

Reporting & Analysis:

  • Prepare and maintain periodic reports related to inventory levels across all product lines.

  • Record inventory levels and discrepancies, identify inventory losses, surplus and shortages.

  • Conduct monthly meetings with all business unit teams and report expiry / near expiry and collect liquidation plans.

  • Map liquidation plans progress % and report to the team to ensure that the planned liquidation is met.

 

RESPONSIBILITIES

  • Educational Qualifications: Bachelor's Degree 
  • Experience: 2+ years as applicable related to the field. 
  • Job Skills: Ms. Office Skills (Excel formulas, Pivot) Advanced user Excel and preferably BI expert. 
  • Additional Details: Candidate will be based in Dubai and will be covering across the gulf regions (UAE, Qatar, Oman & Bahrain).
